If your team files its mail in folders (Suppliers, 2026 enrollments, Accounting), Trupeo shows those folders and lets you move emails into them. They are your mailbox’s folders, not a copy: what you file in Trupeo is filed at your email provider, and the other way round.
Which mailboxes have them
- IMAP: the folders you created on the server, with the ones they contain.
- Outlook and Microsoft 365: the folders you created in Outlook, with the ones they contain.
- Gmail has no folders, only labels: see Sort conversations with labels. The same goes for a Gmail account connected over IMAP, and for an IMAP server that keeps a copy of every email in an All Mail folder.
The Inbox, Sent, Drafts, archive, trash and junk folders are not in the list: Trupeo already has its own views for them (“Done”, “Trash”, “Spam”). On Outlook, folders filed under Deleted Items, Junk Email or Archive are not in it either.
Where you see them
In the column on the left, under the views, the “Folders” section carries the number of your folders and labels in brackets. It starts folded: click its title to unfold it, and Trupeo remembers your choice. Unfolded, it shows your folders, nested as at your email provider, then your labels with their color square, and, when there are many, the first seven followed by “Show all (14)”. “New folder” is at the end of the section. On a phone, the section is under “More”.
Click a folder to list the emails in it. If there are none, Trupeo shows “No email in this folder.”
Create, rename or delete a folder
Every member of the mailbox can do it from Trupeo, on an IMAP or Outlook mailbox. The change is made at your email provider too: your other email apps see it.
The owner can keep this to the owners, so the folders everyone files into stay as they were decided: in the mailbox’s settings, on the “Members” page, under “Member permissions”, turn off “Create, rename and delete folders”. It applies to every member at once. Members then still move emails to the folders that exist, and are no longer offered “New folder”, “New sub-folder”, “Rename” or “Delete”. An owner can always do all of it.
- Create: “New folder”, at the end of the “Folders” section, creates a top-level folder. To create one inside an existing folder, open the ”⋯” button beside that folder and choose “New sub-folder”. In “Move to…”, type a name no folder has: “Create “Suppliers” and move there” creates the folder, then moves the email into it.
- Rename: the folder’s ”⋯” button, then “Rename”. The emails in the folder and its sub-folders go with it: the emails stay filed inside.
- Delete: the folder’s ”⋯” button, then “Delete”. Only an empty folder can be deleted: no email and no sub-folder, including emails Trupeo has not fetched yet. Trupeo checks with your email provider just before. Otherwise it answers “This folder still holds emails: move them out first.” or “This folder holds sub-folders: delete them first.” On Outlook, the deleted folder goes to Deleted Items.
A name is refused if a folder at the same place already has it, even with
different capitals, if it is the name of one of the mailbox’s own folders
(Inbox, Sent, Trash, Junk, Drafts, Archive), or if it contains /, * or %.
On some IMAP servers the full stop separates folder levels: it is refused too.
None of these three can be undone with one click: rename the folder again, or create it again.
Move an email to a folder
Open the email: under its subject, at the end of the status line, click “Move to…” (on a phone, under the last email, beside the labels). Choose a folder, or “Inbox” to take it out, then press “Move” (or Enter). “Find a folder” narrows the list.
The conversation’s received emails go to that folder, at your email provider too. The emails you sent stay in Sent. Trupeo confirms with for example “Moved to “Accounting””, and offers “Undo”.
Moving does not change the email’s state: it stays “To assign”, “In progress” or “Done” as before. Mark it done when it is.
“Move to…” is not offered in the “Trash” and “Spam” views.
Move several emails at once
Tick emails in the list: the selection’s bar offers “Move to…” (on a phone, in its ”⋯” menu). Choose the folder and press “Move”. Trupeo confirms, for example “12 conversations moved to “Suppliers””, with “Undo”. If some could not be moved, the message says how many and why.
Undo a move
“Undo” puts each email back where it was before the move. An email that has moved since, by hand in your email app or through another action in Trupeo, stays where it is now, and Trupeo says so. The same goes for an email marked done, or put back to do, after the move: that more recent choice wins.
What Mark done does to filed emails
On IMAP and Outlook, “Mark done” moves the conversation’s emails from the Inbox to the archive. The emails you filed in a folder stay in that folder.
The other way round, when an email comes back to do (a new reply arrives, or you choose “Mark as to do”), only the emails in the archive come back to the Inbox. The emails in a folder stay there.
In short: a filed email only leaves its folder through “Move to…”, or by hand in your email app.
What you do from your email app
A folder you create, rename or delete in Outlook or on the server shows up in Trupeo at the next update. An email you file by hand in a folder is found there too.
- IMAP: Trupeo reads every folder on the server, so emails already filed in your folders are in Trupeo from the start.
- Outlook: Trupeo reads everything each folder holds, including emails filed before you connected the mailbox. Those older emails arrive in “Done”, so they do not fill “To assign”. A new email that arrives later in a folder, for example through an Outlook rule, arrives like any new email. A folder moved to Deleted Items, Junk Email or Archive leaves the list, and its emails show where Outlook now has them.
When a move does not go through
Trupeo says why, in plain words. The ones you may come across:
- “The mailbox is disconnected. Reconnect it to move emails.”: see Reconnect a paused mailbox.
- “Its emails are being moved right now. Try again in a moment.”
- “This folder no longer exists.”: it was deleted or moved at your email provider.
- “This conversation has no received email to move.”: it only holds emails you sent, which stay in Sent.
