Assign a conversation

Take a conversation so your teammates can see it is handled, and hand it over when it is not yours to answer.

Assigning means writing down who is dealing with an email. It all happens from the buttons above the thread, and the result shows in the list, without having to open anything.

Take the email before you reply

Open a conversation. The “For me” button makes you the owner. The line under the title changes from “To sort · No owner” to “In progress · Assigned to” followed by your name, and the thread keeps a readable trace of it.

The button disappears once the email is yours: that is how you know it worked.

Replying assigns nothing on its own. If you write without taking the message, it stays in “To sort” and a colleague can answer right after you. While somebody is drafting a reply, the conversation shows a padlock in the list and the message “Someone is replying” when you open it. Both only appear from the moment that person puts their cursor in the reply box: that is a safety net, not a way to share out the work.

Hand the email to someone else

The “Assign to” button opens the list of the mailbox members, with their name and their address. You are not in it: for you, there is “For me”. If you are alone on the mailbox, the list says “No other member for now.”

For the person you choose:

  • the conversation lands in their “For me”;
  • it leaves everyone’s “To sort” and enters “In progress”;
  • the thread shows “Alex is handling this email”, with the name;
  • they get a notification, on the bell at the top of the app, titled “Alex handed you a message”.

Nobody is notified when you take an email for yourself: the notification only goes out when you hand the email to someone else.

Give back an email that is not yours

“Move back to sort” sits in the menu behind the ••• button, to the right of the decision buttons. The email returns to “To sort”, with no owner, and the thread notes “This email has no owner again”.

The action is only offered on an open, assigned email. On one already marked “Done”, it does not appear.

Where assigned emails go

The left menu answers “who is doing what” without opening a single message. Every view shows its own counter:

  • To sort: open emails with no owner.
  • For me: open emails assigned to you.
  • In progress: open emails assigned to someone, you or anyone else. Everyone can open it.
  • Handled: emails marked “Done”, whoever owned them.

In the list, an assigned email carries a small round badge with the person’s initials. That is what makes the split readable at a glance.

Take back an email already marked done

Assigning an email marked “Done” reopens it. It goes back to open, enters “In progress” and the person’s “For me”, and the thread notes the reopening as “Alex takes this email back”, with the name of whoever did it.

On a handled email the “Done” button is no longer shown: “For me” and “Assign to” are what reopen it.

Assign several emails at once

Tick several conversations in the list and a toolbar appears, with the same actions as icon buttons. Hover one to read its name.

Up to fifty conversations, the action applies straight away and the “Action completed” message offers “Undo”. Above that, Trupeo runs it in the background and shows how many conversations are being processed: there is nothing to undo then.

When someone leaves the team

Removing a person from the mailbox does not free up their emails. They stay under their name, so in “In progress” and out of “To sort”. You have to take them over one by one, with “For me”, “Assign to” or “Move back to sort”: see Invite your team and choose a role.
