Trupeo plugs into the mailbox you already have. You migrate nothing and you do not create a new address. You connect the existing one: the contact address, the generic mailbox, the one your team answers today.

Before you start
You need three things:
- Your own address, for your personal account. Not the shared address.
- Access to the shared mailbox: someone able to sign in to it with Google or Microsoft, or its password for any other email provider.
- About five minutes. Copying the older emails then carries on in the background.
Getting started has four steps, recalled at the top of each screen: “Account”, “Mailbox”, “History”, “Team”.
1. Create your personal account
Go to app.trupeo.com/signup. On the “Create your Trupeo account” screen, choose “Continue with Google”, “Continue with Microsoft” or “Continue with an email address”.
This step matters. Your personal account is what lets Trupeo know who replied to what. If the shared address becomes someone’s personal account, the other members can no longer tell who replied.
- With Google or Microsoft: if the account you come back with looks like a team’s address (the contact address, for instance), Trupeo asks “Is this account yours?”. That is what happens when the browser is already signed in to the shared mailbox. Choose “Start again with my own account”, or “This really is my own address, continue” if it truly is yours.
- With an email address: type your address and a password of at least 12 characters, then “Create my account”. If you type an address that looks like a team’s, Trupeo tells you straight away. You then get a six-digit code by email: type it on the “Enter the code we emailed you” screen, then “Verify”. The code works for ten minutes, and you can ask for another one.
2. Connect the shared mailbox
On the “What address does your team share?” screen, type the shared address in “Team address”. As you type, Trupeo identifies the email provider on its own, from the address and from where the domain receives its mail, and says so under the field: “Google mailbox.”, “Microsoft mailbox.”, or for example “Hosted by OVH.”. If the answer is wrong, “Not a Google mailbox?” (or Microsoft) lets you choose yourself.
What comes next depends on the email provider:
- Gmail or Google Workspace: “Continue with Google”. See Connect a Gmail mailbox.
- Outlook or Microsoft 365: “Continue with Microsoft”. See Connect an Outlook mailbox.
- Any other email provider: the mailbox’s password, then “Connect the mailbox”. See Connect an IMAP mailbox.
A typo in the address? Just fix it in the field, as long as the connection has not succeeded: nothing is lost, the mailbox holds no email yet.
If your own address is not confirmed yet, Trupeo first asks for the code it emailed you: a shared mailbox is only created with a confirmed address. If the shared address is already connected to Trupeo, Trupeo tells you: ask that mailbox’s owner to invite you rather than connecting it a second time.
Once consent is given, the “Connecting the mailbox” screen shows the steps: consent received, mailbox found, the most recent emails being copied. It takes a few seconds.
3. Choose what goes into To assign
While the emails start copying, Trupeo asks which conversations already in the mailbox start in To assign: “Only emails arriving from now on”, “The last 7 days”, “The last 30 days” or “The whole history”. The others go into Done. Nothing moves in your mailbox: no email is archived, moved or deleted. A new reply brings its conversation back to To assign.

4. Invite your team
Trupeo then asks “Who reads this mailbox with you?”. Type the other members’ addresses, one per line, with their role, then send the invitations; or choose “Nobody else reads this mailbox” and do it later from the settings. Copying the emails carries on meanwhile. Roles and invitations are explained in Invite your team and choose a role.
What happens next
You are the owner of the mailbox you just connected. Its 30-day free trial starts the moment the connection succeeds, with no card to enter. Each mailbox has its own trial and its own subscription: see Trial, subscription, and reduced pricing.
Trupeo then copies the emails already in the mailbox, in the background, newest first. At the top of the list, a “Copy in progress” line follows how far it has got. A large mailbox takes longer to copy in full, and you can use the mailbox and reply during the copy. What is copied, and what is not, is detailed in How emails arrive in Trupeo.
The mailbox opens on “For me” if you invited someone, on “Still to do” if you are alone. In a team’s mailbox, two hints show above the list, one after the other: “I’ll take it”, then “Mark done”. “Got it” puts them away, and each one also goes as soon as you have made the gesture. A question along the way? “Help”, at the bottom of the column on the left (under “More” on a phone), offers the articles about the screen you are on, and “Write to us” sends it to us. A mailbox added, never connected
If you typed the address without finishing the connection, the mailbox waits for you. When you come back to it, Trupeo shows for example “Only Google’s consent is missing”, the date you added it, and the date it will be deleted if it is still not connected: nothing was copied, there is nothing to lose. “Delete this mailbox” removes it at once, with “Undo” for a few seconds.
Connect another mailbox later
Open your account’s menu, your name at the foot of the column on the left, then choose “Add a mailbox”. When you already have several mailboxes, the mailbox menu, at the top of the column, offers it too. You go through steps 2 to 4 again, for that address.
