Which one fits you?
Choose Trupeo if
- The Microsoft 365 shared mailbox is busy enough to need clear ownership.
- Internal notes and reply visibility would prevent mistakes.
- You also work with Gmail or IMAP mailboxes.
- You want a workflow new teammates understand quickly.
Choose Microsoft 365 shared mailbox if
- You already have Microsoft 365 and need no extra layer.
- The mailbox volume is low.
- Your team is fully on Microsoft 365.
- Manual coordination in Outlook is still working.
Microsoft 365 shared mailboxes are a fine native starting point when access is enough. When the mailbox is daily teamwork, Trupeo adds the clarity native access lacks — assignments, notes, reply visibility and provider flexibility — from €10/mo excl. VAT.
Overview
There are two Microsoft cases to separate. Outlook.com personal accounts have no shared mailbox feature at all. Microsoft 365 business accounts include native Exchange Online shared mailboxes, usually without an extra mailbox license up to the standard limit.
Trupeo works with both. For Outlook.com users, it fills the missing shared-mailbox gap. For Microsoft 365 users, it adds the teamwork layer native shared mailboxes lack: clear assignment, internal notes and reply visibility. The challenge appears when a shared mailbox gets busy — native access does not make ownership obvious, so people miss emails, answer twice, or leave context in private chats the next person cannot see. Trupeo keeps the same workflow even when another mailbox is Gmail, Google Workspace or IMAP.
Pricing
Microsoft 365 shared mailboxes are included in Microsoft 365, so the direct software cost can be zero. If your team only needs occasional access to a common inbox, that is a strong reason to stay native.
Trupeo starts at €10/mo excl. VAT with flat packages. It is not trying to replace Microsoft 365; it adds a clear workflow on top of shared email. For a small team, the price is fixed within the selected package instead of being multiplied by user.
